Restaurant billing software in India: what it has to do during service.

Restaurant billing software is not invoicing software with food on it. A restaurant bill is built while the table is still occupied, split and reprinted mid-service, taxed differently depending on how the order leaves the building, and settled by whoever is on the counter at the time. This page sets out the eleven jobs that makes unavoidable, and says plainly which of them Biller.app does today and which it does not.

Written by the team that builds Biller.app · free to start, no card, so you can check every claim yourself

A restaurant bill changes after it is created. That one fact is why generic invoicing software fails at a counter.

An invoice tool assumes you know the whole order before you raise the document. A restaurant does not. The table orders twice more, one dish comes back, two people pay separately, and the kitchen needs to know all of it before the bill is finished. Everything below follows from that.

The eleven jobs a restaurant billing system has to do

If you are comparing products, these are the questions that separate restaurant billing software from a general billing app. Each one has a concrete test you can run in a demo.

  1. Hold an open order against a table, not a documentTest: add an item to a bill you raised ten minutes ago, without voiding it and starting again.
  2. Send the order to the kitchen the moment it is takenTest: take an order at the counter and watch it appear where the cooking happens, before anyone pays.
  3. Move a ticket through stages as the food movesTest: mark one dish ready while the rest of the ticket is still cooking.
  4. Tax by order type, not by item aloneTest: raise the same dish as dine-in, as takeaway and as delivery, and check the tax treatment and any charges differ correctly.
  5. Split, merge and transfer a billTest: split one table's bill between two payers, and move an order from one table to another.
  6. Issue a correct GST document, not a receiptTest: ask for a Tax Invoice and a Bill of Supply, and check the CGST and SGST split, the sequential number and the HSN treatment.
  7. Keep billing when the line dropsTest: switch the connection off mid-service and keep taking orders.
  8. Work on the devices your staff already carryTest: have a waiter take an order on their own phone, with no terminal to buy.
  9. Give each person only what their job needsTest: sign in as a waiter and confirm you cannot see the day's revenue or change a price.
  10. Take stock down as dishes sellTest: sell a dish and check the ingredients it consumes fell, in the units you actually buy in.
  11. Close the day without a spreadsheetTest: ask for the day's sales, the order-type split and the tax summary as one export.

The GST part, specifically

This is where most general billing apps stop being usable for food service. A restaurant issues a Tax Invoice when it is registered under the normal scheme and a Bill of Supply when it is not, the rate depends on the kind of outlet and on how the order leaves the premises, and the numbering has to be a single unbroken sequence per series. None of that is optional, and none of it is something you want to reconstruct at filing time.

What Biller.app issues: Tax Invoice and Bill of Supply formats, the correct CGST and SGST split, a sequential invoice series, HSN where it applies, and the filing exports — GSTR-1 tables 4A, 7, 12 and 13, GSTR-3B 3.1(a), the CGST and SGST reconciliation, and CMP-08 for composition-scheme outlets. The money on a finished bill is fixed at the moment it is settled, so a later price change never rewrites a bill you already handed someone.

E-invoicing (IRP and IRN) is not shipped. It is on the roadmap. It is legally mandatory only above ₹5 crore annual turnover — below that threshold it changes nothing for you, and above it we are not the right fit yet.

How Biller.app answers each of the eleven

  • Menu setup from a photograph. Photograph the printed menu and review the items, prices and categories the AI read back, in about two minutes. Or bring an existing catalog in as CSV, and export it back out whenever you want it.
  • A live kitchen display. Orders land on the kitchen wall as they are taken and move stage by stage as the food does, so the counter and the kitchen read one list.
  • Order types with their own tax and charge treatment. Dine-in, takeaway and delivery are distinct order types rather than a label on a line item.
  • GST documents from the first bill. Tax Invoice and Bill of Supply, correct splits, sequential numbering, plus the filing exports listed above. Included in the free start, not an upgrade.
  • Billing that survives a dead line, with a stated bound. Orders and stage changes are held on the device and sent when the connection returns — up to 5 days since the device last reached the internet, and 24 hours in a browser that has not guaranteed its storage.
  • No hardware to buy. It runs in a browser and as an Android app on Google Play, on the phones your floor team already carries. A thermal printer is optional, and a bill can reach the customer on WhatsApp instead.
  • Nine roles. Owner, manager, godown manager, staff manager, cashier, waiter, kitchen, delivery and accountant, with unlimited team members and no per-user charge.
  • Ingredient-level stock. Dish sales deduct ingredient stock automatically and unit-aware, with low-stock alerts, a weekly reorder list rounded to buyable packs, a supplier book and one-tap purchase orders.
  • Insights in sentences. A daily sales and inventory digest in plain language — what sold, what did not, and what to push tomorrow — in English, with Hindi rolling out.

A cafe, a bar and a full-service restaurant are not the same problem

The phrase "cafe billing software" is usually a request for something simpler, and "bar and restaurant management software" for something stricter. The difference is worth naming before you shortlist anything.

A counter-service cafe or bakery needs
  • Speed at the till over table management.
  • A bill that reaches the customer without a printer queue.
  • One or two people who can settle a bill.
  • Stock on a short list of inputs, not a full recipe book.
A full-service restaurant or bar needs
  • Open orders held against tables through a long sitting.
  • Kitchen tickets that move stage by stage during rush.
  • Splits, merges and transfers mid-service.
  • Roles, because the person taking the order is not the person closing the till.

Biller.app is built for both ends of that range: a single counter through to multi-outlet operations, self-serve, with multi-outlet support, role-based permissions and the live kitchen display shipping today.

What "free restaurant billing software" usually means

Almost every free claim in this category is one of four things: a trial with an expiry date, a tier with the features you need removed, a cap set low enough to force an upgrade, or free software with paid onboarding attached. Each of those can be a perfectly honest offer. The problem is when the qualifier lives behind a secondary page or a sales call.

Ours is a one-time grant: every new outlet gets 510 Biller.app credits, given once, no card. A plain bill costs one credit, so that is roughly 510 bills before you decide anything. The credits do not expire and there is no countdown. After that you buy a prepaid pack or take a plan, and there is no standing free tier underneath either of those.

There is no desktop installer. Biller.app runs in a browser and as an Android app from Google Play, so a "free download" in this category does not describe us — there is nothing to install on a computer and nothing to keep patched.

What ours does not do

Three limits worth knowing before you spend any time on it.

  • No direct aggregator connection. Orders from Swiggy and Zomato do not reach the counter on their own, in either direction. It is on the roadmap for this year and it is not shipped.
  • Anything with AI in it needs a connection. Menu scanning, ingredient suggestions and the narrated insights all call out; none of them work from a dead line.
  • No receive-against-purchase-order step yet. You can raise a purchase order and keep a supplier book, but matching a delivery against the order it came from is not built.

How to shortlist in an afternoon

This procedure applies to this page too. Run it on us.

  1. Take the eleven tests above into the demoAsk for each one to be performed, not described. A product that can do it will show you in seconds.
  2. Raise one real bill of each order typeDine-in, takeaway and delivery, and read the tax lines on all three.
  3. Turn the connection offMid-order. Then turn it back on and check nothing was lost.
  4. Sign in as the most junior roleAnd confirm you cannot see or change what that person should not.
  5. Test your real volume on a Saturday, not a TuesdayPeak service is the only honest test of a counter.
  6. Confirm you can get your data outYour menu and your bills, in a format something else reads, before you commit anything.

Frequently asked

What is restaurant billing software?

Software that creates and settles a restaurant's bills while service is still happening. Unlike general invoicing software it holds open orders against tables, sends the order to the kitchen as it is taken, taxes dine-in, takeaway and delivery differently, and lets a bill be split, merged or transferred before it is closed.

How is it different from a restaurant POS?

In practice the terms overlap. "Billing software" usually emphasises the document and the tax; "point of sale" usually emphasises the counter and the hardware around it. A product that only produces documents is not enough for a restaurant, and a product that only runs a till is not enough for Indian GST.

Is Biller.app free to start?

Yes. Every new outlet gets 510 Biller.app credits, given once, no card. A plain bill costs one credit, so that is roughly 510 bills. The credits never expire and it is not a time-boxed trial. After that you buy a prepaid pack or take a plan.

Does it issue proper GST invoices?

Yes, from the first bill: Tax Invoice and Bill of Supply formats, the correct CGST and SGST split, a sequential invoice series, and HSN where it applies. The filing exports cover GSTR-1 tables 4A, 7, 12 and 13, GSTR-3B 3.1(a), the CGST and SGST reconciliation, and CMP-08.

Does it keep working when the internet drops?

Billing keeps working. Orders and stage changes are held on the device and sent when the connection returns, for up to 5 days since the device last reached the internet, and 24 hours in a browser that has not guaranteed its storage. Settling a bill needs the server for a moment, because the GST invoice number comes from it.

Do I need to buy a billing machine or a terminal?

No. It runs in a browser and as an Android app from Google Play, on the phones and tablets you already have. A thermal printer is optional — the bill can reach the customer on WhatsApp instead.

Is there a restaurant billing software free download?

Not a desktop installer, no. Biller.app is a web application plus an Android app on Google Play, so there is nothing to install on a computer and nothing to keep patched.

Can I use it for a cafe or a bar rather than a restaurant?

Yes. The same counter handles counter-service cafes and bakeries as well as full-service restaurants and bars. What changes is how much of the table and kitchen workflow you switch on.

How many people can bill at once?

As many as you need. There is no per-user charge, and every team member gets one of nine roles — owner, manager, godown manager, staff manager, cashier, waiter, kitchen, delivery and accountant.

Does it handle my ingredient stock?

Yes. Dish sales deduct ingredient stock automatically and unit-aware, with low-stock alerts, a weekly reorder list rounded to buyable packs, a supplier book and one-tap purchase orders. There is no receive-against-purchase-order step yet.

Do orders from Swiggy and Zomato reach it?

Not today. There is no direct connection in either direction. It is on the roadmap for this year and it is not shipped, so if aggregator integration is your deciding factor, this is a gap.

Can I move my existing menu across?

Two ways. Import the catalog as CSV if you already have one, or photograph the printed menu and review the items, prices and categories the AI reads back before anything saves.
