Payments and closing the day
The Payments page, under Money in the admin side bar, answers one question: how much money should I have, and where.
Pick the days
The chips at the top read Today, Yesterday, This week, This month and Pick dates. Times are always India time. This week starts on Monday.
The tiles
- Collected -- what came in by every way except khata given and delivery apps.
- Cash expected -- what the cash drawer should hold. After you close the day it shows what you counted and how far off it was.
- Razorpay to settle -- shown only when online payments are live. It is what Razorpay has taken but not yet paid to your bank.
- Khata out -- everything still owed to you on khata, across all days.
Received by source
One row for each way money reached you: Cash, Card machine (one row for each machine you set up), UPI QR on screen and Pay link (both through Razorpay), UPI to your UPI ID and Card, recorded (payments your staff recorded by hand), Due (khata) given (not collected yet) and Due collected (old khata paid in that range, by cash or UPI).
Should be there now
For a single day the page shows two blocks.
Cash drawer: the opening float, plus cash bills, plus khata collected in cash, minus cash paid out, gives Expected in drawer.
Bank: the balance you entered, plus Razorpay payouts, plus card machine money, plus UPI to your own UPI ID, gives Expected in bank. Bank charges, withdrawals and money that did not come through Biller are not counted. Enter the balance again any time to reset it.
The owner sets both starting figures with Opening balances: the cash in the drawer now and the balance of each bank account. Biller adds every payment after that.
Closing the day
The owner and managers close the day with Close the day · count cash:
- Type Cash you counted. Right away the sheet says how much is short or over, or that it Matches the drawer.
- Add a Note if you like, for example what you paid out of the drawer.
- Set Leave in drawer for tomorrow, the float for tomorrow. It cannot be more than you counted. The rest is marked as taken out.
- Tap Close the day.
A day closes once. After that the page shows what you counted instead of the button. Reopening a closed day is something only the owner can do, and it is not on this screen yet.
Khata and past days
A khata payment is counted on the day it was paid. Look at a past day and money paid on khata after that day is not in it; the page says so under the tiles.
Who can do what
The owner sees everything on the page. A manager can look and close the day. An accountant can look but not change anything.
