Collecting payment: QR, card machine, pay link

When your outlet has online payments switched on, Finish offers to collect the money before it closes the bill. The bill finishes by itself the moment the payment lands, with the real method on it (UPI or card), so you never close a table that has not paid.

Outlets without online payments see Finish exactly as before: Cash, UPI, Card and Due.

The three ways to collect

Tap Finish. Under Collect payment you see only the ways that are ready:

  • Show UPI QR -- a QR for this bill only, at the exact amount. Show it on your screen, or tap Show on customer display to fill the screen with it. It counts down to when it expires.
  • Card machine -- one row for each machine you have set up. Tap the one on the counter. The sale goes to that machine and the sheet follows it: sent, customer paying, approved.
  • Send pay link on WhatsApp -- needs the customer's mobile number. WhatsApp opens with a message and a link to the bill, where they pay by UPI or card.

Below them, Or record a payment already taken keeps the old chips for money you have already received: Cash, UPI, Card, Due. Those finish the bill at once.

If you have more than one card machine, tapping Card there asks Which machine took it? Pick the machine, or Not listed. Machines you only record by hand (Razorpay POS, Mswipe, BharatPe, a bank machine) are on that list too, so each machine's money shows on its own line in Money. With one machine, or none, it does not ask.

While it waits

Every waiting screen has the same three controls:

  • Switch method -- cancels this attempt and takes you back to the choices.
  • Pay later · due -- finishes the bill now as khata and keeps the pay link working, so the customer can still pay it online. It needs the customer's mobile number or email.
  • Cancel payment -- stops the attempt and unfreezes the bill.

You can close the sheet. The bill shows Awaiting payment on the board and in the Bills list, and it is locked: nothing can be added or removed until the payment lands or you cancel it. Tap Finish again to come back to the waiting screen.

If the payment provider has not confirmed that it started the payment, the screen says so and Pay later is hidden. If the customer pays, it is still recorded and the bill finishes by itself. Cancel it to take the money another way.

When it does not go through

A declined card, an expired QR or a machine that timed out shows Payment failed and that nothing was charged. Choose Try the machine again (or a new QR or link), switch to another way, or record a payment already taken.

When it is paid

The sheet shows Paid and how: Paid · UPI online or Paid · Card online, with the payment reference. The bill is finished, the table is free, and you can go straight to New bill, Print receipt or Tables.

The pills you will see

  • Awaiting payment (amber) -- money has been asked for and has not landed.
  • Paid online (green) -- it landed and the bill finished.
  • Payment failed (red) -- the attempt failed and the bill is open again.
  • Paid twice (red) -- the customer also paid online after you had settled the bill another way. Refund the online payment from your Razorpay dashboard.
  • Check payment (red) -- a payment arrived for a different amount than the bill, or the customer paid online but the bill could not be finished. Check it in your Razorpay dashboard before finishing the bill.

Who can collect

Admins and cashiers (and managers, who work as cashiers). Waiters can add to a bill but cannot finish or collect it.
